You’re passionate about events and get a thrill out of exceeding clients’ expectations. Details are important and you are laser-focused on deadlines. A hardcore multitasker, you get a kick out of juggling multiple projects at the same time. But you’re also a people-person, a versatile team player who is capable of making your colleagues LOL.
What you’ll be doing
- Reporting directly to your Account Lead, manage multiple projects (including internal and client-facing events and conferences and congresses) from initial briefing to successful delivery and reconciliation
- Deliver exceptional service to our clients through excellent logistical project management
- Coordinate print materials, registration, transportation, hotel accommodations, food & beverage, gift selection, audio-visual needs, webcasts.
- Coordinate creation and design of event collateral including save-the-dates, invitations, speaker booklets, attendee lists, agendas, and other marketing materials.
- Be the main point of contact for our clients during the implementation phase.
- Travel (approximately 20% annually) for Domestic and International site inspections and on-site management of live events to ensure full coordination of logistics and on-site teams.
- Be responsible for sourcing, negotiating, and managing site selections, contracts, and vendors (i.e., Venue Finding Agents, venues, transportation, audio-visual, entertainment, etc.).
- Collaborate with cross-functional teams to ensure adherence to the client’s standards of operation.
Must haves
(We really mean it. Candidates who do not meet the following criteria will not be considered.)
- 2-3 years of event project management experience or relevant experiences within an event agency.
- Strong experience and good understanding of the pharmaceutical and/or healthcare industry in Belgium.
- Strong communication, leadership and creative problem-solving skills
- Experience with budget creation, management, and consolidation
- Available to commute to the office in Brussels 3 times/week.
- Available to travel, approximately 20% of annual time, domestically and/or internationally
- Fluency in spoken and written Dutch & English or French & English (No scrambled oeufs at egg, svp.)
- Resourceful attitude and proactivity, with the ability to work independently and to work well under pressure to meet established deadlines.
- Excellent supplier knowledge and negotiating skills.
Nice to haves
- Excellent knowledge of Microsoft Office, digital event platforms and delegate management tools
- Fluency in other languages (in addition to English, French and/or Dutch)
